Privacy Policy

Who this covers
Hargen Energy LLC (California limited liability company, based in Vacaville, California) provides back-office permitting, interconnection, and project-tracking services to solar and roofing contractors. This policy describes what we collect and how we use it when you visit our site, submit the contact form, or use the client portal as a contractor company, a member of that company's team, or a homeowner given limited "guest" access to track a single project.
What we collect
From the public contact form: the name, email, phone, and company you type in, plus whatever you write in the message.
From a client company and its team: account details (name, email, phone), the project and job information your company gives us to do the work (addresses, permit and utility correspondence, plan sets, photos, and similar project files), and billing information needed to invoice and collect payment.
From a homeowner with guest access: only what the client company shares to invite you (your name and email) and the project-status information scoped to that one project. Guest accounts never see pricing, payment details, or any other client's data.
Automatically: basic technical logs (IP address, browser, pages visited, timestamps) used for security, abuse prevention, and diagnosing errors.
We do not knowingly collect more than the above, and we do not collect government ID numbers, financial account numbers, or health information through this site.
How we use it
To respond to inquiries, deliver the permitting and project-tracking services a client company has asked for, process payments, send the account and project notifications a signed-in user has to receive to use the portal (sign-in codes, status updates, payment receipts), and keep the service secure and working. We do not sell personal information, and we do not use it to build advertising profiles.
Who we share it with
We share information only with the service providers that make the portal work, and only for that purpose: a payment processor (Stripe) to handle charges, though Hargen never sees or stores full card numbers; an email delivery provider (Resend, and Gmail for staff outreach) to send account, project, and outreach email; cloud file storage (Google Cloud Storage) to hold project documents and photos; and an error-monitoring tool (Sentry) that helps us catch and fix bugs. Each is bound to use the data only to provide their service to us, not for their own purposes. We otherwise disclose information only if the law requires it, or to protect the rights, property, or safety of Hargen, our clients, or others.
How long we keep it
We keep account and project records for as long as a client relationship is active and for a reasonable period after, to meet our own recordkeeping, accounting, and legal obligations. A contact form submission that never becomes a client relationship is kept only as long as needed to follow up, then deleted on a routine schedule.
Your choices
You can ask us what personal information we hold about you, request a correction, or ask us to delete it, subject to what we are required to keep for legal, security, or accounting reasons. For example, we can't delete records tied to an active project or a completed payment. Outreach email always includes an unsubscribe link, and honoring it stops future outreach immediately. Security
Portal accounts are protected by two-factor authentication for staff and one-time sign-in codes for client and guest accounts. Data in transit is encrypted (HTTPS). No system is perfectly secure, but we treat client and project data as sensitive by default and limit who inside Hargen can see what based on the role they actually need.
Some building-department and utility portals have no way to add Hargen as a delegate. For those, a client may choose to store a portal sign-in with us so we can file on their behalf. A stored sign-in is encrypted with a key that is kept separately from our database and is never stored in plain text. It can be opened only by Hargen staff who hold that permission and have re-verified their identity within the last fifteen minutes, every opening is recorded, and each one appears in the client's own project activity. A client can replace or remove a stored sign-in at any time, and we delete it on request.
Children
This service is for businesses and the homeowners they invite as guests on a specific project. It is not directed at children, and we do not knowingly collect information from anyone under 13.
Changes to this policy
If this policy changes in a way that materially affects how we handle existing data, we will update the effective date above and, where required, notify active client accounts by email.
